About the team:

The Financial Institutions team is part of the wider FINEX team. The FI team is made up of around 50 team members based in London & Ipswich. The FI Executive team is made up of around 14 team members who will require the most support.

The Role

In this role, you will support the Head of Financial Institutions as well as the wider Financial Institution team. This will include the following:

  • Co-ordinate external and internal meetings, booking rooms and equipment, arranging video and telephone conference calls

  • Proactively maintain busy diaries scheduling meetings in multiple time zones.

  • Arrange domestic and global travel arrangements including visas, accommodation, management of travel profiles and preparing complex itineraries when required

  • Organise internal workshops, summits and events

  • Provide additional administrative support including timesheet management, expense claims, drafting documents, taking messages,, preparing and distributing papers for internal and external meetings.

  • Taking minutes for executive meetings & distributing in a timely manner.

  • Preparing PowerPoint presentations for internal and external conferences and seminars

  • Ensure that documents conform to house style

  • Request documents from managers to allow the team to prepare for research meetings, filing and maintaining accurate records

  • Use of client information systems for the preparation of reports for client and other meetings

  • Assisting other members of the wider administrative team as and when required

  • Build effective relationships internally and externally and interact with the wider Investment team to support queries addressed to the team

  • Ensure continuous team audit compliance and adherence to required controls

The requirements:

  • Excellentone to one and team administrative skills including at least intermediateknowledge of MS Word, Excel, PowerPoint and Outlook.

  • Databaseexperience is essential as well as a good working knowledge of video andaudio conference calls

  • Beable to work comfortably in a flexible and agile working environment witha large team and successfully interact with other business areas asrequired

  • Tobe proactive and possess the tenacity to effectively support the seniorteam members

  • Tobe able to work alone and make justified decisions on behalf of the seniorteam members

  • Flexible,adaptable and a good team player with excellent people skills

  • Comfortablefollowing systems and processes, and working together with internal andexternal administrators

  • Adaptableto changing systems and internal processes

  • Highlevel of organisation and prioritization skills in order to monitor andmanage multiple tasks to successfully meet deadlines, often at shortnotice

  • Excellentoral and written communication skills
